Validating Digital Turnover Data Before Owner Acceptance
A practical quality-control process for checking asset records, documents, identifiers, relationships, files, and owner-system imports before acceptance.
Digital turnover should be tested like any other project deliverable. Completeness counts are useful, but acceptance also requires accuracy, consistency, retrievability, file integrity, system relationships, and successful use in the owner's platform.

Define measurable acceptance rules
Convert the owner's information requirements into automated and manual checks. Automated rules can test required fields, formats, units, allowed values, duplicate identifiers, naming, file presence, and broken links. Manual review is still needed for meaning, plausibility, installed accuracy, and operational usefulness.
Set acceptance milestones throughout design, construction, startup, and closeout rather than concentrating validation at the end. Early reports show contributors exactly how errors are classified and corrected.
Check relationships and source authority
A complete asset row can still be wrong. Confirm that equipment is assigned to the correct facility, floor, space, system, parent assembly, electrical source, and maintenance program. Verify that manufacturer, model, serial number, capacity, and other critical values agree with accepted submittals, nameplates, test records, and as-built conditions.
Define which source controls when values conflict. Field-verified serial numbers may supersede submittal placeholders; accepted control setpoints may differ from early design schedules. Record the resolution instead of silently choosing one value.
Test files, links, and searchability
Open a representative sample of linked manuals, drawings, warranties, certificates, test reports, training files, native settings, and images. Check file integrity, orientation, readability, naming, version, permissions, and whether the link survives transfer into the owner's environment.
Search using actual field terms, equipment tags, system names, rooms, and common abbreviations. Information that exists but cannot be found during an operating problem is functionally incomplete.
Verify the owner-platform import
Load a controlled data set into the intended computerized maintenance management, facility management, document, or asset platform. Confirm field mapping, units, hierarchy, special characters, attachments, relationships, permissions, and update behavior.
Have owner users retrieve an asset, open its documents, create a representative work order or task, and navigate from system to component and location. Capture import warnings and transformation rules so the final load can be repeated and audited.
Close errors with traceable evidence
Issue validation reports that identify the record, rule, observed condition, responsible party, due date, correction, retest, and disposition. Separate accepted exceptions from unresolved errors and prevent corrected files from reintroducing previously closed problems.
Final turnover should include the accepted export, source files, import package, data dictionary, validation rules, final error report, exception log, backup, and instructions for maintaining the information. Acceptance is a controlled state, not a folder delivery date.
